1. Who we are

ProspectHub (“we,” “us,” or “our”) operates prospecthub.org, a platform that helps prospective student-athletes manage communications with college coaches. Our mailing address is:

2. Age requirement — COPPA notice

ProspectHub is intended for users who are 13 years of age or older. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child under 13 has created an account, please contact us at contact@prospecthub.org and we will delete the account and associated data promptly.

3. Information we collect

3a. Account information

When you create an account we collect your email address, full name, and password (stored as a salted hash via Supabase Auth).

3b. Athlete profile

You may optionally add: sport, graduation year, GPA, SAT/ACT scores, height, weight, highlight video URL, club team, hometown, home state, phone number, and a short bio. This information is used to personalize outgoing emails to coaches. It is never sold.

3c. Email communications

Emails you compose and send through ProspectHub are stored so you can track replies and conversation history. Inbound replies from coaches are received through a proxy email address and stored in your account.

3d. Billing

Payment processing is handled by Stripe. We do not store credit card numbers. We receive a Stripe customer ID and subscription status.

3e. Usage data

We collect standard server logs (IP address, browser type, pages visited) to operate and improve the service.

• To operate your account and deliver the service
• To send you transactional emails (account confirmation, reply notifications)
• To send product updates and marketing communications (only if you opted in at signup — you may unsubscribe at any time)
• To process payments through Stripe
• To improve the platform and diagnose technical issues
• To comply with legal obligations

5. Information sharing

We do not sell your personal information. We share data only with:

• College coaches — only the email content and profile information you choose to include in outbound emails
• Supabase — our database and authentication provider (data stored in the US)
• Stripe — payment processing
• Resend / Postmark — email delivery infrastructure
• Google Cloud (Vertex AI) — AI-assisted email draft features (when enabled)
• Law enforcement — when required by valid legal process

6. Data retention

We retain your account data for as long as your account is active. If you delete your account, we delete your profile and email content within 30 days, except where retention is required by law or for fraud prevention purposes. Billing records are retained for 7 years as required by tax law.

7. Your rights

You may:

• Access or update your profile information at any time from your account settings
• Request a copy of your data by emailing contact@prospecthub.org
• Request deletion of your account and associated data
• Unsubscribe from marketing emails via the unsubscribe link in any email

California residents may have additional rights under CCPA. EU/UK residents may have rights under GDPR. Contact us to exercise any of these rights.

8. Cookies and tracking

We use session cookies necessary to keep you logged in. We do not use third-party advertising cookies. If we add analytics tools in the future, this policy will be updated.

9. Security

We use industry-standard security practices including encrypted connections (TLS), hashed passwords, and row-level security on our database. No system is perfectly secure — if you discover a vulnerability, please disclose it responsibly to contact@prospecthub.org.

10. Changes to this policy

We will update this page when the policy changes and update the effective date above. For material changes we will notify you by email.
